Assistant Administrator

Purpose of the job/Key Objective:
You’ll be working to support the MD’s PA as well as other members of staff by carrying
out a broad range of administrative duties. This is an important role in contributing
towards the high level of performance which CIGNA has established. This role requires
a competent, proactive individual who can demonstrate a high level of accuracy and
attention to detail.
Duties & Responsibilities:
- Reception duties
- Sorting post, both internal and external
- Assist with travel arrangements for staff members at all levels
- Stock Ordering
- Printing, preparing & binding documents for client/broker meetings
etc.
- Diary management
- Assisting with the coordination of on-site & off-site meetings
(i.e. beverages, ordering of lunches etc.)
- Assisting MD’s PA with various day to day work
- Covering holiday periods for MD’s PA
- Comply with confidentiality and data protection policies.
- Responding to internal and external queries, arising from a variety
of sources in a helpful and proactive manner
- Taking care of the day to day running of the office including Health
& Safety as well as being a First Aider & Fire Marshall
- Adopting a problem solving approach to the daily workload, working
as a flexible member of the team, striving to provide an exceptionally high quality of service within all aspects of the role.
Personal Profile:
- Previous administration experience within a busy office environment
preferable but not essential.

Experience of carrying out general office duties i.e. photocopying/emails/Filing
- Accurate computer skills with knowledge of Windows XP & Outlook
- Ability to work as a team using your own initiative as well as
working on your own with minimal supervision
- High level of accuracy when preparing written documentation
